Debunking 5 Common Misconceptions to Avoid Pitfalls


Misconception 1: Hague Apostille is just a stamp on documents? Wrong! It actually certifies the notary's signature and identity authenticity. You must first obtain a notarized certificate, then submit it to the Ministry of Foreign Affairs for Hague Apostille. In short: Document → Notarized Certificate → Hague Apostille—all three steps are essential. Misconception 2: “Supplementary Certificate” is an extra document? This is the biggest misunderstanding! In Chinese terminology, the Hague-certified document is called the “Additional Certificate.” It is not a separate document but an authentication label affixed to the last page of your notarized certificate. Once obtained, never assume “why is there an extra sheet of paper” and lose it.


Misconception 3: Must be processed in person? Absolutely not! Individuals residing out of town or abroad can fully authorize professional agencies to handle it on their behalf. But note: Notarizations must be processed at a notary office in your registered residence, place of actual residence, or where the event occurred. For example, your single status certificate must be notarized at the notary office in your registered residence. Misconception 4: Can it be reissued indefinitely? Important enough to say three times: The Hague Apostille cannot be reissued! Cannot be reissued! Cannot be reissued! If lost, you must restart the entire notarization + authentication process. Therefore, we strongly recommend scanning and backing up your certified documents immediately upon receipt, then locking the originals in a safe. Misconception 5: Any notary office will do? Beware of “fake notary offices”! Always choose a legitimate notary agency with international accreditation. Last year, a client chose an unlicensed “notary service” to save money, only to discover upon arrival in Kyrgyzstan that the documents were not recognized—rendering all prior preparations useless.


Step-by-Step Guide (Bookmark Recommended)


1. Preparation Phase


Single Individuals: Obtain a Certificate of No Marriage Registration from your local police station (typically valid for 3 months) Divorced Individuals: Prepare divorce certificates or court judgments  All documents should be prepared in triplicate 2. Notarization Phase Bring originals to your local notary office for Chinese and English notarized certificates (approx. 3-5 business days)  Tip: Pre-confirm the notarization wording format. Kyrgyzstan typically requires the phrase “The original document corresponds to the photocopy.”
